Job Summary
The Membership Assistant is responsible for assisting with
administrative and sales support tasks relating to Membership. In
the absence of Membership Director, the Membership Assistant meets
with prospects, obtain information, answers questions and gives
club tours. Day-to-Day
- Provides support for the Club Manager and the club's executive
offices as directed
- Preparation of weekly sales and membership reports as required
by accounting department
- Assist in maintaining membership files ensuring the completion
of all required forms
- Initiate requests for and distribute new member cards and
membership resignations and any resulting refunds
- Social Resales: resign seller, create membership for new
homeowner, make copies, open ---le, mail packet. Call title
agencies to request deed or status of a social resale. Follow up on
checks that are not received in a timely manner.
- Make a cover sheet for demands, check seller's and buyer's
information.
- Tenant transfer: process new transfer fees by collecting
paperwork, check and lease. Send monthly reminder emails to tenants
that have their lease expiring at the end of that month. Get lease
extension and collect the transfer fee. Resign memberships
accordingly and upgrade/downgrade landlord. Maintain tenant
transfer master spreadsheet.
- Remove dependents that turned 26 years old. Create and mail
advising member. Monthly task issue and keep a log of guest
passes.
- Marketing: mailing of certi---cates to new homeowners outside
of the gates. List is provided by Membership Director and addresses
in the 85086 zip code must be checked to ensure we are not sending
certi---cates to residents inside of the country club
- Membership inquiries via email, phone and walk-ins. Membership
changes, address update, downgrades.
- Daily emails, walk-ins and phone calls: golf course maintenance
inquires, birthday certi---cates, events, and other questions
.
- Make packets for new homeowners, tenants, membership, and print
all ---yers used on a daily basis.
- Adjust membership information, pull old ---les for storage,
---le folders, etc.
- Assist with questions from the HOA o---ce when needed.
- Demands for all social resales in the club. Calculate amount to
be collect during closing of homes. Past due accounts.
- Place orders and service calls for copy machine. OTHER
ACCOUNTABILITIESBecause of the fluctuating demands of the Club's
operation, it may be necessary that each Employee Partner to
perform a multitude of different functions; therefore, as an
essential part of your job, you will be expected to help others
when the occasion arises, just as other Employees are expected to
help you. Accordingly, you may be expected to perform other tasks
as needed or as directed. Adhere to all of the various company,
club and department written mandatory standards of operations,
policies and procedures, manuals, memos, oral instructions, etc.,
all of which go to make up the essential functions of the job.
Responsible for demonstrating good teamwork. Maintain a
professional appearance according to club policy at all times.
Responsible for maintaining good conduct and safe working habits
while in all areas and assuring that others are acting safely.
Attendance at daily line-up and participating as requested. Manage
time effectively. Take initiative to solve problems, utilizing all
available resources including regional and corporate staff. About
You
- Computer knowledge. Must be knowledgeable in Microsoft
office.
- Must have excellent verbal and written communication
skills.
- 2-3 years office experience.
- Sales background preferred.
- 4 year degree preferred.
