As an Administrative Assistant for Merchant Services Operations, you will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision-making for a team of principals and stakeholders. You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. Duties may include meeting coordination, welcoming guests, event planning, travel arrangements, preparing presentation materials, supply procurement, team recognition, facility oversight, addressing incoming calls and correspondence and coordinating meetings or touch points as needed. Additionally, the ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism is crucial to this role. You should demonstrate experience in developing relationships in a highly-matrixed organization as well as experience in handling the administrative and executive support related tasks with minimal supervision. You will need to adapt procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals. * Minimum 5 years experience in an Administrative Assistant or Business Manager role * Effective problem solving * Strong PC skills (proficient knowledge of MS Word, Excel, and PowerPoint) * Exhibits increased proficiency in duties and expanded knowledge and application of software packages * Knowledge of general office procedures (e.g., scheduling, phone coverage, incident reporting) * Ability to adapt procedures, processes and techniques to the completion of assignments * Knowledge of internal systems to arrange meetings, order supplies, handle travel arrangements * Effective interpersonal skills * Superior oral and written communication skills * Highly organized and capable of structured problem solving * Tact and good judgment in confidential situations and proven experience interacting with senior management * Flexible, highly adaptable and an overall positive culture carrier
