Overview: ** West Valley ** ** Full-Time ** Under the direct supervision of the department Director, the Administrative Assistant will provide intake support and administrative assistance necessary for the effective provision of services to clients, teams and the department. Employee maintains an approved work schedule. Exceptional attendance is required in this position as there is continuous family contact, scheduling, and phone coverage that is critical to daily operations and success of JFCS. Responsibilities:

  • Provide data entry for the Coaching Club and all program tracking for clients, timelines and outcomes. Process referrals, schedules client appointments and keeps calendars for program staff for both CCHT and emergent intakes. Verifies AHCCCS insurance eligibility and behavioral health enrollments and obtains required authorizations. Contacts DCS for case specific needs. Establishes good working relationships with all program staff, funding sources, case managers; assists clinical staff when appropriate in obtaining required paperwork for client treatment. Maintains client electronic charts and scans and imports all related case material in a timely manner and according to agency procedures. Updates computer client file with changes in address, phone number, contacts, or any other pertinent information.
  • Maintains the Emergent Intake database, entering data, updating data, contacting providers to ensure client attendance at appointments, creates monthly report on the emergent services. Requests and tracks all translation needs, scans documents into the client charts and provides them to the case specific staff. Creates reports for program utilization.
  • Assists with all administrative functions; meeting agendas, meeting minutes, protocol documentation, organizes department public folders, organizes department activities, etc.
  • Works department reports and projects as assigned by the Director Assists with operational coverage when necessary. Qualifications:
    • High School Diploma or GED from an accredited organization. Some college business and/or computer courses desirable.
    • Previous work experience in a position requiring significant public contact, preferably in a medical office, behavioral health setting.
    • Ability to use computer and type at least 45 wpm.
    • Knowledge of Microsoft Office products.
    • Strong organization skills.
    • Collaborative style, combined with the ability and desire to work in a team-based environment and also able to work independently.
    • Ability to communicate effectively and diplomatically in person, in writing, and by phone at all levels of the organization.
    • Attention to detail and thoroughness in completing assigned duties.
    • AZ DPS fingerprint clearance card without restriction(s)
